If you need equipment such as microphones, projectors, speakers, a video camera, etc., make a list of the things you will need and make sure that you have someone on site who can fix any technical problems which may come up during the event.

Test everything before guests arrive. It’s embarrassing and frustrating to realize that your LCD projector isn’t working in front of a hundred colleagues! Remember that acoustics change between rehearsal and presentation. (An empty room allows more echoes; a room full of people absorbs more sound.)

Lighting may be different, too. You may walk through your presentation in the afternoon using the standard room lighting. That evening the banquet staff may dim the lights for a more relaxed dining experience… putting your visuals in the dark.
If possible, have your “tech specialist” on hand to make minor adjustments. They can fine-tune your microphone, music, room lighting, and more during the presentation or performance.
